Notes on restaurant operations software — what the numbers mean and where small businesses lose money without noticing.
A Z report closes the day: it totals sales, resets the counters, and produces the figure that goes into your books. Unlike an X report, which is a snapshot you can take any time, a Z report is final.
It matters because it is the record that has to reconcile with cash in the drawer and card settlements. A daily Z that nobody checks against actual cash is how shortfalls stay invisible for months.
Three places, consistently. Waste and portion drift — recipes that slowly grow in practice, so food cost rises without a single decision being made. Voided and comped items, which are invisible in revenue but real in cost. And unreconciled cash.
All three are visible in reporting and none are visible from behind the counter. That gap is the entire argument for tracking.
It removes the paper ticket and the ambiguity around it. Orders arrive timestamped, in sequence, and their state is visible — which turns "is table six done?" from a shouted question into something anyone can see.
The measurable effect is on ticket time, which is the number that governs table turnover and therefore revenue per shift.
Four: food cost as a share of revenue, labour cost as a share of revenue, average ticket, and covers per shift. Together they explain almost every change in profitability.
Revenue alone is the number people watch and the least informative of the set — busy months with rising food cost can be less profitable than quiet ones.
